Job Description


The United States Bankruptcy Court for the Northern District of Iowa is accepting applications for a full-time, permanent Case Administrator II. This position is located in the Bankruptcy Clerk's Office in Cedar Rapids, Iowa and reports to the Case Administration Supervisor. The Bankruptcy Clerk’s Office offers an opportunity for self-motivated individuals with excellent interpersonal, organizational and analytical skills and a strong work ethic to launch or continue a career in public service.

This position is part of our Operations team, and the ideal candidate will need to demonstrate flexibility with intake, customer service and case administration duties, while simultaneously maintaining confidentiality and demonstrating sound judgment and ethics.

The Case Administrator is a fully proficient member of a team that manages the progression of bankruptcy cases and related adversary proceedings from intake/case opening to final disposition by maintaining the official case records, monitoring the completion of the required procedural steps, and performing the necessary noticing, administrative and clerical tasks. The successful candidate will also serve as a backup for court scheduling and for the Courtroom Deputy, will process appeals, and will provide other operational support as needed.

 

The Case Administrator II’s duties include but are not limited to the following:



  • Monitor the progress of bankruptcy and related adversary proceedings from opening to closing to ensure their orderly and efficient movement through the court.


  • Perform quality control review of e-filed and conventionally filed documents and run daily reports, monitor deadlines and take appropriate action to ensure accuracy and adherence to rules, practices and filing requirements. Scan and docket conventionally filed documents.


  • Prepare, analyze and ensure the accuracy of various case management reports.


  • Update creditor and claims databases, noting objections, orders, assignments, or withdrawals on claims register.


  • Ensure that “reportable matters” are properly docketed and timely prepare appropriate deficiency notices.


  • Ensure that meeting of creditors and other court notices are accurately and timely generated and transmitted to the Bankruptcy Noticing Center.


  • Perform intake, cashiering and mail duties on a rotational basis.


  • Process appeals.


  • Provide appropriate case information to the public, attorneys and other parties involved in bankruptcy cases over the telephone, in writing or at the front counter.


  • Serve as primary backup for scheduling and electronic court recording as needed.


  • Perform other duties as assigned.

Qualification Standards



  • To qualify for this position, an applicant must be a high school graduate or equivalent. A Bachelor’s degree from an accredited four-year college or university in a related area is highly preferred but not required.


  • In addition, a prospective candidate should have a minimum of two years of general experience and at least one year of specialized experience. General experience is defined as progressively responsible clerical, office or other work that indicates the possession of, or the ability to acquire, the particular knowledge and skills needed to perform the position’s duties.


  • Specialized experience is defined as progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures involving the routine use of keyboard skills and use of specialized terminology, and demonstrated ability to apply a body of rules, regulations, directives or laws during the course of performing his or her duties. Such experience is commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resources/payroll operations.


  • Applicable experience should also include a positive customer service orientation, record keeping, and ability to use and understand automated equipment, database applications and software programs including CM/ECF and Microsoft 365. The ability to professionally represent the Court in communications with attorneys, trustees, debtors, and the public is required, as is the ability to work well in a team environment. Excellent proofreading skills, accurate data entry and attention to detail are essential. Experience in a federal court or legal setting is desired, but not required.


  • The successful candidate must possess outstanding communication, interpersonal and customer service skills, and unquestioned integrity with a positive ‘can do’ attitude.

  • All positions in the Clerk’s office are Excepted Service Appointments, are “at will” and may be terminated with or without cause by the Court.
