Mastagni Holstedt, A.P.C. is actively hiring for a Legal Intake Specialist to join our team in Sacramento, CA. As an Intake Specialist, you will gather information from potential clients to help attorneys determine if the case meets our case criteria. The Intake Specialist handles initial calls with clients in matters related to Civil Litigation and Workers’ Compensation. The Intake Specialist position is crucial as it is the first contact clients have with our firm.

This is an entry-level position. Our ideal candidate will have a passion for helping potential clients and at minimum one year of customer service experience evidencing strong communication, time-management, and organizational skills. The candidate must be proficient in Microsoft Office and Outlook and posses an ability to write clearly and concisely.

About our Firm:

For decades, Mastagni Holstedt, A.P.C. has served clients throughout California in matters related to civil litigation, automobile accidents, medical malpractice, workers’ compensation, criminal defense, and labor and employment, among other areas. We primarily represent law enforcement unions and members, along with firefighters/firefighter unions and public employees.

Qualifications:

• Excellent customer service skills and ability to respond promptly to email and phone calls in a professional manner.
• Strong communication skills and ability to write clearly and concisely.
• Attention to detail and ability to recognize pertinent case information and appropriate questions to ask when screening potential clients.
• Critical thinking and problem-solving skills. Ability to recognize types of matters and where to direct potential clients/incoming calls and what questions to ask.
• Ability to work collaboratively in a team environment, to follow directions, and to take initiative.
• Proficient in Microsoft Office Suite (Word & Outlook).

Responsibilities:

• Conduct prospective client interviews to gather case and contact information to pass along to attorneys.
• Write clear and concise summaries of information provided by potential clients and recognize types of matters involved and best forms/questions to use.
• Handle a large volume of incoming and outgoing client calls and be responsible for timely follow-up/response. Ability to track intake status by updating logs.
• Managing time and sending intake summaries to attorneys in a timely fashion.
• Prepare non-representation letters under attorney direction.
• May Assist attorneys with administrative tasks related to opening new client profiles, data entry, maintaining databases and coordinating calendars, and drafting/sending/filing basic legal documents.

• Performs other duties as assigned.
