MARKETING TRAFFIC COORDINATOR

JOB SUMMARY

The Marketing Traffic Coordinator is a critical role responsible for orchestrating a systematic yet adaptable workflow that connects marketing strategy, digital marketing, creative agencies, photographers, content creators, production vendors, and stakeholders at Estate Yountville and other Boardwalk Investments businesses as needed. This role ensures seamless coordination of internal workflows and the approval process for creative deliverables, including copy, layouts, and proofs. The ideal candidate will have a strong ability to develop and refine procedures to enhance efficiency and effectiveness in the traffic process.

ESSENTIAL JOB RESPONSIBILITIES

  • Open and manage new projects in Trello (or a similar workflow system), monitor incoming project requests, and track progress to ensure timely delivery.
  • Work closely with digital and creative teams to establish and maintain timelines for all projects and campaigns, including coordinating photo shoots.
  • Ensure all project timelines are adhered to, following up with designers on due dates, and managing the routing of copy, layouts, shot lists, and content to appropriate partners, while communicating any changes.
  • Maintain daily updates in Trello (or similar) to reflect current project status and communicate with production partners.
  • Partner with the on-site marketing coordinator to manage communication and logistics related to signage, advertising, on-property handouts, and in-room collateral.
  • Attend meetings with leadership to provide information, gather notes, and distribute them to relevant parties.
  • Assist in the planning, development, and execution of marketing campaigns throughout the year, including supporting community and partnership marketing initiatives.
  • Lead the campaign wrap-up process, ensuring all promotional tools and offer activities are accounted for.
  • Contribute to achieving business goals and department KPIs through effective project management and collaboration.

REQUIRED QUALIFICATIONS

  • Bachelor’s Degree in a relevant field.
  • 1-3 years’ experience in traffic coordination or project management, with a preference for candidates with hospitality marketing or agency experience.
  • Strong understanding of how various marketing channels (social, paid, etc.) interact with and support business objectives.
  • Exceptional attention to detail with the ability to manage multiple projects and deadlines simultaneously.
  • Excellent written and oral communication skills, with a collaborative mindset for working cross-functionally.
  • Ability to thrive in a fast paced, tight-deadline environment.
  • Experience with Microsoft Office Suite, Google Business Suite, Trello, Air, and Adobe Creative Suite.
