CONDITIONS OF EMPLOYMENT:

  1. New employees of the Department of Military Affairs will be required to pass a pre-employment drug screening.
  2. New employees of the Department of Military Affairs are required to participate in a direct deposit/electronic transfer program. 
  3. The Department of Military Affairs is paid on a monthly basis.

MINIMUM REQUIREMENTS:

  • A High School Diploma or equivalent; AND
  • Valid Florida State Driver’s License; AND
  • One (1) year of Administrative experience; AND
  • Must be able to obtain and maintain a Secret Security Clearance

 

PREFERRED QUALIFICATIONS:

  • Two (2) years of Mailroom experience

 

PHYSICAL REQUIREMENTS:

  • Ability to manage the lifting of boxes weighing up to 70lbs on a daily basis with or without assistance using provided equipment (i.e. pallet jack, straddle stacker and a hand truck)
  • Ability to stand for long periods of time

 

DUTIES AND RESPONSIBILITIES:

  • Performs receiving, sorting, delivery, and distribution of all incoming mail and processing of outgoing mail within the military district of St Augustine to include SFB, USP&FO, Mark Lance, C-12 Hangar, and RFE armories. Observes traffic regulations and safety rules while performing these duties in a government vehicle. Ensures all accountable and sensitive mail is properly handled at all times and transferred to all addresses according to DOD 4525.6M.
  • Analyzes usage and prepares reports of all electronic mail meters located at multiple units throughout the state of Florida. Manages State-wide mail system and maintains postal records as required to complete monthly postal reports on the Automated Military Postal System (AMPS). Maintains inventory of all mailroom equipment and supplies.
  • Develops and updates mail operations policies and procedures in accordance with Department of Defense, United States Postal Service, and Army regulations. Formulates and updates plans for contingency and emergency mail operations. Establishes and promulgates standard operating procedures (SOPs) for mail operations throughout the state. Develops, coordinates, and schedules training in mail operations for Florida National Guard Mail Clerks throughout the state. Assists with maintenance of FLARNG SharePoint site.
  • Serves as alternate for printing operations. Assists customers with configuring print projects; receives and processes print requests from units throughout the state, using the most cost-efficient method; checks production frequently and makes corrections necessary to complete work on schedule; distributes print request to team members to ensure jobs are completed by the requested date; maintains communication with requestors on print jobs and assists with design and development of FLNG forms.
  • Serves as alternate for publications. Maintains oversight of publications and FLARNG publications library; manages FLARNG publications accounts to complete the Quarterly Installation Status Reports (ISR); orders publications and/or forms when requested by units.
  • Serves as alternate up for records management operations. Provides general assistance with records management information systems and provides support to customers and team members as required; assists FLARNG customers with development and maintenance of Office Record Lists, office symbols, and unit record archives.
